Acting as our first point of contact, you will be an integral part of our team, operating as the face of the firm and playing an important part in delivering service excellence. You'll be responsible for the legal administrative and general operations of the firm as specified below:
- Receive, triage and answer email and phone call from clients.
- Perform initial interviews with potential clients to understand their needs and identify legal issues. Take notes of clients’ queries over the phone (client intake) to understand the details of the matter.
- Request details of the client’s matter; correspondence, copies of contracts, letters, invoices, receipts etc.
- Help collect and analyse evidence, which can include photos, videos, and other relevant documentation.
- Matter file management: register the matter in the Legal CRM system and file all matter correspondence.
- Prepare referral note (Email) to the lawyers with details of the matter, provide all the relevant correspondence, and state the legal service needed.
- Prepare cost agreements to progress the matter and request funds to be deposited in the Trust Account.
- Maintain matter files throughout the life of the matter, ensuring a complete and accurate audit trail.
- Organise and maintain the legal inbox, ensuring all client correspondence is attended to in a timely manner and all completed matters are filed in the dedicated folder.
- Assist in writing and editing various legal documents.
- Review and proofread documents before submission to ensure accuracy and clarity.
- Develop professional skills such as time management, communication, and collaboration within a legal office environment.
What we are looking for in a candidate:
- A law student with excellent written and verbal communication, negotiation and problem-solving skills.
- Strong analytical skills are required to analyse and interpret data and trends to develop strategies and solutions.
- Organizational skills: The ability to manage multiple projects and deadlines while maintaining accurate records and documentation.
- Attention to detail: A keen eye for detail is essential to ensure compliance with laws and regulations and to prevent disputes.
- Relationship building skills: The ability to build and maintain positive relationships with management, business owners, employees, and other stakeholders
- Empathy and emotional intelligence: An understanding of and sensitivity to the needs and perspectives of both management and employees is essential to foster a positive work environment and resolve disputes effectively.
